Overview

LetEmail maintains a zero-tolerance policy toward unsolicited or abusive messaging. All emails sent via our platform must be legitimate, expected by recipients, and comply with applicable anti-spam laws and our service-provider requirements. Non-compliance may result in immediate suspension or termination of your account or services to protect the shared infrastructure and reputation of all users.


1. Consent & List Quality

  1. Explicit Opt-In Only

    • Every recipient must have freely given, informed consent through an unchecked opt-in mechanism clearly stating the types of messages they will receive.

    • Partner or co-registration opt-ins must display all involved parties (max 10) on the subscription form.

    • Proof of opt-in must be retained and provided upon request.

  2. Prohibited Lists

    • Purchase, rental, or scraping of email lists is strictly forbidden; such practices violate CAN-SPAM, CASL, and harm deliverability.

    • All lists must be validated for syntax, domain existence, and mailbox status prior to each send.

  3. Implied Consent Exceptions

    • In jurisdictions recognizing implied consent (e.g., Canada’s CASL), it is valid only for a limited period and must be reconfirmed with an express opt-in thereafter.


2. Prohibited Content

  1. Illegal or Harmful Material

    • Content promoting illegal drugs, counterfeit goods, hacking tools, or instructions for creating weapons is prohibited.

  2. Deceptive Practices

    • Misleading subject lines, spoofed sender addresses, or phishing attempts are expressly forbidden.

  3. Malware & Phishing

    • Any attempt to distribute malicious code or phishing links is automatically blocked.

  4. Hate Speech & Extremism

    • Content encouraging violence, hate speech, or defamation is disallowed under anti-discrimination and e-Privacy laws.


3. Content & Identification

  1. Accurate Header Information

    • “From,” “Reply-To,” and routing headers must correctly identify the sender’s domain; false headers breach GDPR’s transparency principle and CAN-SPAM.

  2. Deceptive Subject Lines

    • Subjects must reflect the email’s true content; clickbait or misleading lines are non-compliant.

  3. Legal Disclosures

    • All commercial messages must include a valid physical postal address or PO Box in compliance with CAN-SPAM, CASL, and GDPR.

  4. Advertisement Labeling

    • Where required, messages should be labeled as “Advertisement” per regional regulations.


4. Unsubscribe & Suppression

  1. One-Click Unsubscribe

    • Every email must include a clearly visible, one-click unsubscribe link. Requests are honored within 10 business days under CAN-SPAM and within 24 hours under CASL.

  2. Global Suppression

    • Unsubscribed, bounced, or complaint-generating addresses are added to a global suppression list and excluded from all future sends to maintain complaint rates below 0.1% and bounce rates under 5%.

  3. Transactional vs. Marketing

    • Transactional messages (e.g., confirmations) are exempt from promotional rules, provided they contain no marketing content.


5. Monitoring & Enforcement

  1. Real-Time Feedback Loops

    • We leverage partner-provided feedback notifications (bounces, complaints) to identify and suppress problematic addresses immediately.

  2. Reputation Management

    • Continuous tracking of sending volumes, complaint rates, and ISP feedback ensures high deliverability and compliance with service-provider standards.

  3. Account Suspension & Termination

    • Violation of this policy or any integrated service’s anti-spam rules (e.g., Stripe’s, PayPal’s) may result in immediate suspension or termination without notice to protect overall ecosystem health.


6. Compliance & Updates

  • We review and update this policy regularly to reflect changes in GDPR, CAN-SPAM, CASL, the e-Privacy Directive, and partner-provider requirements (Cloudflare, Stripe, PayPal, Braintree, Google Analytics, Microsoft Clarity, Tawk.to).

  • Users will be notified of material policy changes via email and in-app announcements.
